How Portlio handles the information you send us. Last updated September 30, 2026.
The short version
- We only collect what you type into our forms, plus a little about how you found us.
- We use it to reply to you, to review your work, and to plan and deliver your portfolio website.
- We don't sell your information, and we don't run advertising or tracking cookies.
- If you're under 18, a parent or guardian is part of the process. You can ask us to delete your information at any time.
Who we are
Portlio designs and builds custom portfolio websites for students and young creatives. In this policy, “Portlio”, “we” and “us” mean the team behind this website. Questions about this policy can be sent through our contact form.
What we collect
We collect information only when you send it to us through one of three forms.
Get started (interest form)
- Full name, email address and phone number; WhatsApp number if you choose to add one.
- Country, and optionally your school and education level.
- The package you're interested in, an optional message, and an optional coupon code.
Contact form
- Name and email address, and your age bracket (under 18 or 18+).
- If you're under 18: your parent or guardian's name and email.
- What your website is for, an optional deadline, and your message.
Portfolio review request
- Name, email, optional phone number, and your age bracket (with a parent or guardian's name and email if you're under 18).
- What your website is for, your current stage, an optional deadline, links to your work, and anything else you choose to tell us.
Collected automatically
- The page you first landed on and any campaign tags in the link that brought you here (for example utm_source). These are held in your browser tab only until you close it, and are attached to your form if you submit one, so we know which link worked.
- Your IP address when you enter a coupon code, used only to limit repeated guessing of codes.
- Standard technical logs kept by our hosting provider (such as IP address, browser type and the pages requested), which exist to keep the site secure and running.
We don’t ask for payment details on this website, and we don’t need anything more than what’s listed above. Please don’t put passwords, ID numbers or other sensitive information in a free-text box.
How we use it
- To reply to your message and follow up about the package you asked about, by email, phone or WhatsApp.
- To review the work you send and tell you honestly what we think.
- To plan, design and deliver your portfolio website.
- To check and apply a coupon code you enter.
- To understand, in general terms, which links and pages bring people to us.
- To keep the website secure and to prevent spam and misuse.
We contact you only about your enquiry and your project. If we ever want to send anything else, like news or offers, we’ll ask first, and you can say no.
Who can see it
Your information is visible to the Portlio team members who answer enquiries and work on projects. We share it with a small number of service providers only so the website and our inbox can work:
- Google (Google Sheets and Apps Script), where form submissions are stored as rows in a spreadsheet only our team can open.
- Vercel, which hosts this website.
These providers process information on our behalf and under their own privacy terms. They may store it on servers outside your country. We don’t sell your information, rent it out, or share it with advertisers. We may disclose information if the law requires it.
Cookies and similar technology
This website doesn’t use advertising or analytics cookies. It stores one small item in your browser tab (session storage) to remember the page you landed on and any campaign tags, and that is cleared when you close the tab. Your browser and our hosting provider may use strictly necessary technology to load the page and keep it secure.
Young people and under-18s
Portlio is made for students, and many of the people who contact us are under 18. If you’re under 18, please ask a parent or guardian before you send us your details. Our forms ask for a parent or guardian’s name and email when you say you’re under 18, so we can include them in the conversation about your project.
We collect only what’s needed to reply and to build your website. A parent or guardian can contact us at any time to see, correct or delete what we hold about a young person. If we learn that we hold information about a child without a parent or guardian’s involvement, we’ll delete it on request.
If you choose to publish a portfolio website with us, what appears on it (your name, your work, your school) is decided together with you, and with a parent or guardian if you’re under 18, before it goes live.
How long we keep it
We keep enquiry details for as long as it takes to answer you and, if you become a client, for the length of the project and a reasonable period afterwards in case you need help or a change. If an enquiry doesn’t lead to a project, we delete it within 12 months. You can ask us to delete it sooner.
Your choices
You can ask us, at any time, to:
- tell you what information we hold about you;
- correct anything that’s wrong;
- delete your information; or
- stop contacting you.
Send the request through our contact form, from the same email address you used before (or from a parent or guardian’s address for someone under 18) so we can confirm it’s you. We’ll answer within 30 days.
Security
Forms are sent over an encrypted connection, and submissions go to a spreadsheet that only our team can open. No system is perfectly secure, but we keep access small and we don’t collect more than we need. If you think something has gone wrong with your information, tell us straight away.
Links to other sites
Our pages and the portfolios we show may link to other websites, such as a student’s own work or social profiles. We’re not responsible for how those sites handle information, so check their policies before you share anything.
Changes to this policy
If we change how we handle information, we’ll update this page and the date at the top. If a change is significant, we’ll make it clear on the forms too.
